Sales Tax Compliance Monitoring

Registering for a sales tax permit is the start of an obligation, not the end of one. Once a state issues an account, it expects returns on a schedule, it may change that schedule, it may require a return even in a period with no sales, and it will send correspondence that carries a response deadline. Our compliance monitoring service tracks those obligations for your registered states and tells you what is coming before it becomes a penalty.

This is a managed service. You tell us where you are registered and what your accounts look like; we maintain the compliance schedule and send you alerts by email. There is nothing for you to install and no software to learn.

What We Monitor

Filing deadlines

We track the sales tax return due dates for each state where your business is registered, across monthly, quarterly, semiannual and annual schedules. Due dates are not uniform between states, and a business registered in five states can easily be working against five different calendars.

Filing frequencies

Each state account carries an assigned filing frequency. States reassign that frequency as sales volume or account activity changes, and the notice announcing the change is easy to miss. We record the assigned frequency for each account and update the compliance schedule when it changes. If you are unsure how a frequency gets changed in the first place, our guide on changing your sales tax filing frequency explains the process.

Upcoming return reminders

You receive advance notice before each return is due, with enough lead time to gather figures, review them and submit. Reminders are scheduled ahead of the deadline rather than on it.

Zero-return reminders

A period with no taxable sales does not always mean a period with no return. Many states still require a filing to keep the account in good standing, and a missed zero return can carry the same late penalty as a missed return with tax due. We flag these separately so a quiet month does not turn into a compliance problem. Our guide covers what a zero sales tax return is and when you file one.

Permit and registration renewals

Sales tax permits, seller’s permits, resale-related registrations and other state registrations may need periodic renewal, and the rules differ by state. We track applicable expiration and renewal dates and remind you ahead of them. For background, see whether a sales tax permit has to be renewed.

State notices

State correspondence tends to arrive with a clock already running. We record notices you send us, capture the jurisdiction, account, period, requested action and response deadline, and remind you before the deadline arrives. Correspondence that goes unanswered is one of the more common triggers for escalation, as our overview of what triggers a state sales tax audit describes.

Economic nexus thresholds

We monitor your reported activity against the economic nexus thresholds that apply in states where you are not yet registered. Thresholds are measured differently from state to state, and states periodically change them, so the comparison is reviewed rather than assumed.

Additional-state alerts

When your activity indicates that registration in another state should be considered, you get an alert. The point of the alert is timing: identifying a likely obligation while there is still room to register deliberately, rather than discovering it after a deadline has passed.

How It Works

  1. You tell us where you stand. Complete the request form below with your registered states, assigned filing frequencies and what you would like tracked.
  2. We review your position. We look at your registered states, the filing schedule each account carries, and where your activity sits relative to other states’ thresholds.
  3. We build your compliance schedule. Deadlines, frequencies, renewal dates and any recorded notices go into one ongoing schedule for your business.
  4. You receive email alerts. Upcoming returns, approaching deadlines, zero-return obligations, renewals, notice response dates and nexus threshold activity, sent ahead of time.
  5. We keep it current. When a state reassigns a frequency, a renewal date approaches or your activity moves toward a new state’s threshold, the schedule is updated and you are told.

What This Service Covers

We want the scope to be clear before you engage us, so there is no confusion later.

  • Compliance monitoring is a tracking and notification service. It tells you what is due and when.
  • We do not prepare or submit your sales tax returns as part of this service, and we do not collect, hold or remit sales tax funds on your behalf.
  • Monitoring is not legal or tax advice. State rules change and vary, and specific obligations should be confirmed with the state or a qualified professional before you act.
  • Alerts are based on the information you provide. If your registered states, sales activity or account details change, tell us so the schedule stays accurate.
  • SalesTaxApplication.net is a private filing service and is not a government agency. State agencies may allow businesses to handle these registrations directly.

Request a Compliance Review

Tell us where your business is registered and what you need tracked. We review your details and respond by email with what monitoring would cover for your states and what it costs.

Select every state where the business currently holds a sales tax registration.
Select every filing frequency currently assigned to those accounts.
Deadlines, renewals, zero returns, nexus thresholds, state notices, or anything else.

Not Registered Yet?

Monitoring applies to accounts that already exist. If your business has established an obligation in a state but has not registered there yet, start with the registration itself — you can begin a sales tax registration application, or read our overview of the sales tax application process first. State-by-state rate and agency information is available in the state sales and use tax directory.
